Everything you need to use Mr. Auctioneer

From your first lot to a clean Auction Flex 360 export — follow these steps to catalog items with AI and publish them to HiBid.

Overview

Mr. Auctioneer turns photos of auction items into ready-to-publish lots. Upload a few photos, let AI draft the title and description, review the details, then export a CSV and image ZIP straight into Auction Flex 360 / HiBid.

The basic flow is: Create a lot → Upload images → Run AI analysis → Review & fill required fields → Mark ready → Export to AF360.

Dashboard

The Dashboard is your home base. It gives you an at-a-glance view of where everything stands.

  • Draft — lots saved but not yet analyzed or approved.
  • Needs Review — AI flagged the lot with low confidence; review it manually.
  • Ready — approved and ready to export to AF360/HiBid.
  • Exported — already included in a CSV/ZIP export batch.

The usage meter shows your monthly lots and AI analyses against your plan. Recent Lots lists your latest work — click any row to open its detail page. Use the New Lot button to create one.

Create a lot

Click New Lot from the Dashboard or the Lots page.

  • Images — add up to your plan’s image limit. These are what AI analyzes.
  • Auction Name (optional) — groups lots into a sale. Reuses names you’ve typed before.
  • Lot Number — auto-suggests the next available number; you can change it.
  • Sale Order — defaults to the lot number if left blank.
  • Title — hard limit 50 characters (soft limit 45 shown in the counter).
  • Category & Condition — category helps choose the right AI prompt.
  • Reserve, Start Bid, Estimates, Quantity, Consignor Code, Shippable — all optional at creation; fill before export.

Save as a draft, or — if you’ve added images and have AI analyses left — choose Save & Analyze with AI to queue analysis right away.

Run AI analysis

AI reads your photos and drafts the title, brand, material, color, size, condition, and a full description, plus a confidence score. Open any lot and click Analyze with AI (or “Save & Analyze” when creating).

Each analysis uses one of your monthly AI credits. When it finishes, the lot’s status moves to analysis_complete (or review_needed if confidence was low). You can edit any AI-suggested field before exporting — the AI output is a starting point, not final.

Mark a lot ready to export

A lot can be exported only when its status is ready. On the lot detail page, review and complete the required fields:

  • Title — 50 characters max.
  • Lot Number — required and used to name the export images.
  • Consignor Code — your AF360 Seller Code (paste it from AF360 Customers).

Optionally confirm the description, reserve, start bid, estimates, quantity, and shippable flag. When everything looks good, set the status to ready using the status control. Export will skip any lot that isn’t “ready”.

Manage lots

The Lots page is your full inventory. Here’s what you can do:

  • Search by title or lot number.
  • Filter by status, category, consignor, or auction.
  • Sort by the column you need.
  • Select lots to bulk-set a status, run AI analysis, delete, or export a batch to AF360.

Each row shows a status pill and AI confidence badge so you can quickly spot lots that still need attention. Click any row to open its detail page.

Export to Auction Flex 360

When one or more lots are “ready”, click Export to AF360 — either on a single lot’s detail page or as a batch from the Lots page.

Mr. Auctioneer generates two files for you:

  • A CSV with one row per lot — columns: Lot, Sale Order, Title, Description (split into Description1–5 at sentence boundaries, 500 chars each), Reserve, Start Bid, and Seller Code.
  • A ZIP of images named {lot_number}-{display_order}.jpg so AF360 can match them to the right lot.

Download both, import the CSV into Auction Flex 360, then load the image ZIP. Exported lots are automatically marked Exported here. If any selected lot isn’t “ready”, the export tells you which ones to fix.

Settings & billing

The Settings page manages your account:

  • Profile — update your full name (email is locked).
  • Subscription — see your current plan, price, and monthly usage of lots and AI analyses.
  • Change Subscription — upgrade or switch tiers via Stripe checkout.
  • Manage Billing & Invoices — opens the Stripe customer portal for past invoices and payment methods.

All paid tiers support AF360/HiBid export. Usage resets each billing cycle.

FAQ

Can I edit what AI wrote? Yes — every AI-suggested field is editable on the lot detail page before you export.

Why won’t my lot export? Its status must be “ready”, and it needs a Lot Number and Consignor Code. The export error message lists exactly which lots and fields to fix.

How are images named? As {lot_number}-{display_order}.jpg — e.g. lot 101’s first image is 101-1.jpg.

What happens after I export? The lots are marked “Exported” and grouped into an export batch. You can still open them, but they won’t be included again unless you re-export.
